PodManager.AI provides a platform that helps users create, manage, publish, and grow podcasts and related content, including optional publishing and analytics integrations with third party platforms.

This Privacy Policy explains how we collect, use, store, share and delete personal data when you use PodManager.AI. It also applies when you connect third party accounts such as Meta, Instagram, TikTok, LinkedIn, X and Google YouTube.

This policy applies to our website, applications and services that link to this Privacy Policy.

1. Information You Provide to Us

We collect information you provide directly, including:

• Account information such as name and email address.
• Account credentials and authentication information needed to sign in.
• Content you upload or create in PodManager.AI, such as podcast audio, transcripts, titles, descriptions, show notes, images, videos and related metadata.
• Support and communications content, including messages you send to us.

2. Information We Collect Automatically

We collect certain usage and device information, including:

• Usage data such as feature usage, actions taken in the product, error logs and performance metrics.
• Device and browser data such as IP address, device identifiers and general location inferred from IP address.
• Cookies and similar technologies used for essential functionality, security and preferences.

3. Information From Third-Party Platform Integrations

When you connect a third-party social or publishing account, we may access and process data from that provider based on the permissions you grant. This typically includes:

• Basic account and profile information needed to identify the connected account.
• Content and metadata needed to publish posts on your behalf, including text, images, videos and scheduling parameters.
• Content status and publish receipts, such as IDs and publish status.
• Performance and analytics metrics that the provider makes available, such as views, impressions, reach, clicks, reactions, likes, comments, shares, saves and watch time - depending on the platform and your permissions

We only request the permissions needed to provide the features you choose to use.

4. Payment Information

Payments are processed by Stripe.

We do not store full payment card details. Stripe processes payments and stores payment and transaction records.

We use personal data to:

• Provide, operate and maintain the service.
• Create and manage your account.
• Publish content on your behalf when you schedule or publish through connected third party platforms.
• Show analytics and performance insights based on data returned by connected platforms.
• Generate product suggestions and content assistance features, including recommendations based on your usage, your content and your results.
• Provide customer support and respond to your requests.
• Process subscriptions, billing and PodCoin purchases where applicable.
• Improve, troubleshoot, secure and debug the service.
• Prevent fraud, spam, abuse and unauthorized access.
• Comply with legal obligations and enforce our terms.

This section is designed to meet privacy policy requirements for platforms you may connect.

1. Meta and Instagram

If you connect Meta or Instagram, our privacy policy must clearly explain what data we process, how we process it, the purposes for processing and how users can request deletion.

1.1 Deletion requests

You can delete your account inside PodManager.AI as described in Section 10. When you delete your account, we delete data associated with your connected third party services, including Meta, from our systems, except where we must retain certain records for legal or financial obligations.

2. Google and YouTube

If you connect Google or YouTube, we comply with the Google API Services User Data Policy. You must be informed about what Google user data we access, use, store, delete, or share and any actions we take on your behalf.

2.1 Google data limited use

We use Google and YouTube data only to provide or improve user facing features within PodManager.AI, such as connecting your channel, publishing on your behalf and showing analytics you request. Our use of Google user data is limited to what is disclosed in this Privacy Policy.

We do not sell Google user data. We do not allow third parties to use Google user data for surveillance or unrelated purposes.

2.2 Google for developers

If we materially change how we use Google user data, we will update this Privacy Policy and where required, request your consent before using data in a new way.

3. TikTok

TikTok requires a valid and verified Privacy Policy URL and Terms of Service URL for many apps and URL ownership verification is required for apps created after September 9, 2024 and for Content Posting API use cases.

If you connect TikTok, we process data only to provide the features you request, such as account connection, publishing and analytics where available.

4. LinkedIn

LinkedIn requires that our user agreement and privacy policy are prominently identified where members access the application and that our privacy practices accurately disclose collection, use, distribution, transfer, storage, sharing and deletion, including user directed deletion requests.

If you connect LinkedIn, we store only the LinkedIn data needed to provide the features you request and to display it back to you inside PodManager.AI. You can disconnect at any time and you can request deletion as described in Section 10.

5. X

X requires that your privacy policy is consistent with applicable laws and no less protective of end users and X content than the X Privacy Policy.

If you connect X, we use X data only to provide the features you request, such as publishing and showing analytics returned by X where available. Users must understand and consent to how we access X on their behalf.

PodManager.AI may apply product branding or watermarking in certain features. If enabled in your plan, you may be able to toggle watermarking on or off.

If watermarking is enabled and you choose to publish with watermarks, we may grant Podcoins or similar credits as part of the product experience. If you disable watermarking for a post, that post may not earn such credits.

We log the watermark setting used at publish time for each post to correctly apply product rewards and to prevent abuse.

We share data only as needed to operate the service, including:

1. Service Providers

We share information with vendors and service providers that help us operate the service, such as hosting providers, analytics providers, customer support tools and payment processors. Stripe is our payment provider.

2. Third-Party Platforms You Connect

When you connect a third-party platform and publish or request analytics, we send the required data to that platform and receive data back based on your permissions.

3. Legal and Safety

We may disclose information to comply with law, respond to lawful requests, protect our rights, prevent fraud or abuse and protect users.

4. Business Transfers

If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections. We do not sell personal data.

We retain personal data only as long as needed for the purposes described in this policy, including:

• While your account is active.
• As needed to provide scheduled publishing, analytics and support.
• As needed for security, fraud prevention and dispute resolution.
• As required by law for financial and tax records.

You can delete your account as described in Section 10. After deletion, we remove or anonymize personal data where feasible and retain only the minimum required data for legal and financial obligations.

Your information may be processed in countries different from where you live, depending on where we and our service providers operate. Where required, we apply appropriate safeguards for international transfers.

Depending on your location, you may have rights to:

• Access your personal data.
• Correct or update your personal data.
• Delete your personal data.
• Object to or restrict processing.
• Request portability of certain data.

You can also disconnect third party platforms at any time in your account settings.

You can delete your account and personal data at any time.

How to Delete Your Data

1. Log in to your account.
2. Go to Account Settings.
3. Choose Delete Account.
4. Confirm deletion.

Once confirmed, your account and personal data associated with your profile, activity, and connected third party services will be deleted from our systems.

Data That Cannot Be Deleted

Some data must be retained to meet legal and financial obligations.

Payment and transaction records are securely stored by our payment provider Stripe and are kept only for accounting, tax reporting, fraud prevention and audit requirements.

After Deletion

After your deletion request is completed, you will no longer be able to access your account. Any data retained for legal reasons is stored in a restricted form and only for the minimum period required by law.

We use reasonable technical and organizational measures designed to protect personal data, including access controls, encryption in transit, and monitoring. No method of transmission or storage is fully secure, so we cannot guarantee absolute security.

We use cookies and similar technologies for essential site functionality, security and preferences. Some third party providers, such as Stripe, may set their own cookies when processing payments or providing related services.

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the effective date. If changes are material, we will provide additional notice where required.
